The initial setup was relatively straightforward, though there were moments when I felt overwhelmed by the sheer number of features and customization options available.<\/p>\n<p class=\"translation-block\">Once everything was configured, I found that the CRM excelled in its ability to centralize all my business activities. The drag-and-drop pipelines were visually appealing and easy to manage, which made tracking leads across different stages a breeze. However, the need to frequently switch between the CRM and the Sales Hub to access all necessary functionalities became a bit cumbersome. It was clear that HubSpot\u2019s strength lies in its broad feature set, but that also comes with a steep learning curve.<\/p>\n<p class=\"translation-block\">The automation tools for email tracking and meeting scheduling worked well, but I noticed that to unlock the full potential of these features, I had to navigate through various settings and integrations. Setting up Zoho CRM was easy enough, and I appreciated the range of customization options available right from the start. Build a repeatable sales process that is simple enough to follow<\/h3>\n<p class=\"translation-block\">If you\u2019re juggling a series of different leads through relatively long sales cycles, it\u2019s important to always clearly keep in mind the next step for every one of those leads.<\/p>\n<p class=\"translation-block\">That way you can easily guide them all from having a business problem to hiring you as an agency to solve it.<\/p>\n<p class=\"translation-block\">Commonly, such a sales process consists of the following stages:<\/p>\n<ol type=\"1\">\n<li><strong class=\"translation-block\">Lead<\/strong>: Someone you want to reach out to.<\/li>\n<li><strong class=\"translation-block\">Contacted<\/strong>: You\u2019ve contacted this lead about your services.<\/li>\n<li><strong class=\"translation-block\">Qualified<\/strong>: You\u2019ve established that you\u2019re able to sell the lead your services (they have a need, a budget, a timeline and you\u2019re talking to the right person at the company).<\/li>\n<li><strong class=\"translation-block\">Proposal made<\/strong>: You\u2019ve made a proposal for them.<\/li>\n<li><strong class=\"translation-block\">Won<\/strong>: They\u2019ve accepted your proposal.<\/li>\n<li><strong class=\"translation-block\">Lost<\/strong>: They weren\u2019t qualified or they didn\u2019t accept your proposal.<\/li>\n<li><strong class=\"translation-block\">Fridge<\/strong> (optional): They were qualified, except for the timeline bit. It was a \u201cyes, totally, but not now\u201d kind of case. Keep nurturing these!<\/li>\n<\/ol>\n<p class=\"translation-block\">It\u2019s best to take a moment to sit down and consider what it looks like for you. Write down the names of the stages and a short description of each stage in a document that you can keep as a reference for yourself and for your team. Agree as a team how you\u2019ll use the CRM<\/h3>\n<p class=\"translation-block\">While an action driven approach has clear merits, most companies who <a href=\"https:\/\/blog.salesflare.com\/crm-implementation\">implement a CRM<\/a> don\u2019t reserve that short, but essential moment to sit together with their teams. And it doesn\u2019t have to be complicated.<\/p>\n<p class=\"translation-block\">Here\u2019s how you can go about this:<\/p>\n<h4 id=\"7h4eo\">1. Fire up a shared document<\/h4>\n<p class=\"translation-block\">Just start a new shared document in Google Docs or Microsoft Office 365. It\u2019s important that the full (sales) team has access to it.<\/p>\n<p class=\"translation-block\">You can use the following section titles (and discussion points between brackets):<\/p>\n<ol type=\"a\">\n<li style=\"list-style-type: none;\" class=\"translation-block\">\n<ol type=\"a\">\n<li class=\"translation-block\">How do we track our sales process? (sales pipeline stages (cf. above), use tasks or not, when to set up automated reminders, filtered views, \u2026)<\/li>\n<li class=\"translation-block\">How do we pick up and follow up leads? (responsibilities, timelines, automation, \u2026)<\/li>\n<li class=\"translation-block\">What is the core data we keep track of? (most important fields and custom fields \u2192 what is essential and what does it mean)<\/li>\n<li class=\"translation-block\">Who can access and do what? (permission roles, core data and pipeline access, email templates, saved filters, \u2026)<\/li>\n<li class=\"translation-block\">What metrics do we track? (dashboards and reports)<\/li>\n<li class=\"translation-block\">What is our CRM integrated with? (simple integrations)<\/li>\n<li class=\"translation-block\">Who to contact with issues or questions? (point(s) of contact)<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<h4 id=\"81rrr\">2. Discuss each section as a team<\/h4>\n<p class=\"translation-block\">Have a short discussion to share ideas and align on a way of working. Write down your decisions briefly but clearly.<\/p>\n<p class=\"translation-block\">This discussion does not have to take longer than a few hours, but it will make your chance of success many orders higher.<\/p>\n<p class=\"translation-block\">After all, if everyone in the team uses the CRM a little differently, it can\u2019t really be used as a collaboration tool, a source of insights, a single point of truth, or anything else you were expecting it to help you with.<\/p>\n<h4 id=\"2fg7c\">3. Use it as a reference and update it when needed<\/h4>\n<p class=\"translation-block\">From now on, this document is not just a shared reference for how you\u2019ll work together in the CRM. It can also be a handy onboarding document for future hires.<\/p>\n<h3 id=\"1kvm8\">3. Send personalized emails at scale to keep relationships alive (webinars, case studies, \u2026)<\/h3>\n<p class=\"translation-block\">If you\u2019re already taking the three above tips to heart, then this one is the cherry on the cake.<\/p>\n<p class=\"translation-block\">Even if you\u2019re following up perfectly with the leads in your pipeline, many of them will not make it to the \u201cWon\u201d stage: they don\u2019t need your services right now, they don\u2019t have time, they don\u2019t have budget yet, they have other priorities first, \u2026<\/p>\n<p class=\"translation-block\">If your initial targeting was good, many of those will make good leads in the future though, so it would be a waste to just let them go.<\/p>\n<p class=\"translation-block\">Instead, it\u2019s good to invest a little bit of time each month or quarter into building a stronger relationship with them.<\/p>\n<p class=\"translation-block\">Adding them on LinkedIn and posting some relevant content is a good starting point there, but to really build relationships, you\u2019ll need to stay closer by.<\/p>\n<p class=\"translation-block\">The best way to do that is to deliver value straight in their email inbox.
